Job Brief

We are looking for a highly professional, detail-oriented, and strategic Personal Assistant to provide comprehensive executive support to the Chief Executive Officer of Victoria Water Services Ltd. The role requires exceptional organizational skills, discretion and the ability to manage complex priorities within a fast-paced corporate environment.

Key Responsibilities

  • Provide full-spectrum administrative and executive support to the CEO
  • Manage and coordinate the CEO’s calendar, meetings, travel, and official engagements
  • Screen, prioritize, and manage correspondence, calls, and requests on behalf of the CEO
  • Act as a key liaison between the CEO, senior management, board members, clients, and external partners
  • Prepare, review, and manage executive correspondence, reports, presentations, and briefing materials
  • Coordinate executive and board meetings, including agenda preparation, minute-taking, and follow-up on action items
  • Track deadlines, commitments, and deliverables to ensure timely execution of executive priorities
  • Support strategic initiatives, projects, and corporate planning activities as directed by the CEO
  • Assist in preparing confidential documents and managing sensitive information with absolute discretion
  • Maintain organized records, filing systems, and executive documentation
  • Coordinate logistics for internal and external engagements, events, and site visits
  • Monitor office workflows related to the CEO’s office and recommend process improvements
  • Represent the CEO’s office professionally when interacting with stakeholders

Requirements

  • Bachelor’s degree in business administration, Management, Public Administration, or a related field
  • Minimum of 5–7 years’ experience as a Personal Assistant or Executive Assistant supporting senior executives
  • Professional certification in administrative or executive support (added advantage)
  • Strong organizational, planning, and multitasking abilities
  • Excellent written and verbal communication skills
  • High level of professionalism, integrity, and confidentiality
  • Proficiency in Microsoft Office Suite and digital collaboration tools
  • Ability to work independently, exercise sound judgment, and perform effectively under pressure
