Job Summary

The Office Assistant will provide administrative and clerical support to ensure the smooth and efficient operation of the office. The role involves handling routine office duties, maintaining records, assisting staff, and supporting daily office activities. The ideal candidate must be organized, responsible, and able to work effectively in a professional office environment.

Key Responsibilities

  • Assist in the day-to-day administrative operations of the office
  • Receive, sort, and distribute incoming mails, documents, and packages
  • Answer telephone calls and attend to visitors politely and professionally
  • Maintain proper filing systems for documents and records (manual and electronic)
  • Assist with data entry, record keeping, and updating office files
  • Prepare basic office documents such as letters, memos, and reports when required
  • Ensure office supplies are adequately stocked and report shortages to the supervisor
  • Operate basic office equipment such as computers, printers, scanners, and photocopiers
  • Support senior staff and departments with administrative tasks as assigned
  • Ensure cleanliness and orderliness of the office environment
  • Adhere strictly to office rules, procedures, and confidentiality policies
  • Perform any other duties assigned by management

 

Requirements / Qualifications

  • Minimum educational qualification OND (higher qualifications are an added advantage)
  • Previous experience in an office or administrative role is preferred
  • Good command of written and spoken English language
  • Ability to communicate in one or more Nigerian local languages is an added advantage
  • Basic computer literacy, including knowledge of Microsoft Word, Excel, and Email
  • Familiarity with office procedures and equipment
  • Good organizational and time-management skills
  • Ability to multitask and work under minimal supervision
  • Must be honest, reliable, and detail-oriented
  • Ability to work under pressure and meet deadlines
  • Punctuality and good work attitude are essential
